ENTERPRISE SYSTEM INTEGRATION

Your systems.One connected payment workflow.

Keep the systems your business relies on. Connect authorised bank data to the records, rules and actions that already drive your operations.

THE CONNECTION THAT MATTERS

From a bank receipt
to a useful business update.

A bank feed alone does not resolve an invoice, renew a membership or update a tenancy balance. We design the steps between the transaction and your operational records, including what should happen when a match needs review.

CHOOSE THE SUPPORTED CONNECTION

The approach follows your environment.

Direct system integration

Use your software’s supported interfaces to retrieve source records and return approved allocations or payment status. We check access permissions, field mappings and update rules first.

Scheduled file exchange

When direct integration is unavailable, design scheduled exports, transfers and imports around the formats your system supports. Agree frequency, validation and failure handling.

Workflow events

Where supported, confirmed payment status can trigger existing tasks, reminders and reporting. The design specifies which events are safe to automate and which require approval.

MAKE EVERY HANDOFF EXPLICIT

What the integration connects.

BEFORE IMPLEMENTATION

Agree the boundaries.
Then connect the workflow.

Access and responsibility

Identify account owners, source systems, required permissions and who approves operational changes. You retain control of the business decisions the integration supports.

Data and timing

Check the available accounts, transaction fields and refresh behaviour through Akahu. Processing schedules are agreed around actual provider and system capabilities.

Validation and exceptions

Test representative records, duplicate handling, retry behaviour and uncertain matches before enabling approved updates.

Delivery and handover

Agree the implementation scope, validation criteria, operational instructions and any ongoing support responsibilities in the project documents.

The integration approach is selected for your systems, supported interfaces and update permissions.

INTEGRATION QUESTIONS

Start with what you already use.

What if Particulars, Code or Reference is missing or incorrect?

BeginTech can match a payment to the correct customer using the payer’s bank account number, even when Particulars, Code or Reference is blank or incorrect. This uses payer account details available in the bank data and the account links in your customer records. Agreed amount and allocation rules then connect the receipt to the appropriate invoice or balance.

Can you work with a legacy system?

We assess its supported export and import options. If a direct connection is unavailable, scheduled data exchange may be appropriate. We confirm feasibility before quoting.

Will data updates happen in real time?

Refresh timing depends on the bank, connectivity provider and your destination system. We agree the processing schedule after checking those capabilities.

Do we have to replace our ERP or finance software?

The goal is to connect your existing environment. We identify the supported interfaces and confirm which steps can be automated within them.
